Information you provide directly
When you sign up for Squad Reviews, subscribe to a plan, or contact us, we collect information you give us, including:
- Account details: name, business name, email address, phone number, and password
- Billing information: payment card details (processed by Stripe — we do not store full card numbers), billing address, and tax information
- Customer list data you upload or input: customer names, email addresses, phone numbers, and any context you add to review request campaigns
- Any messages, support requests, or feedback you send us
Information collected automatically
When you use the Service we automatically collect:
- Log data: IP address, browser type, device type, operating system, pages visited, and timestamps
- Cookies and similar technologies (see Section 4)
- Usage analytics: features used, dashboard interactions, and aggregated performance metrics
Information from third parties
If you connect Squad Reviews to a third-party platform (Google, Facebook, TripAdvisor, etc.), we receive information from that platform — typically your business profile data, reviews, ratings, and authentication tokens — strictly to provide the integrations you've requested.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve the Service
- Send review requests, reminders, and AI-generated content on your behalf to your customers
- Process subscriptions, payments, and trials
- Send you product updates, security notices, billing notifications, and customer support responses
- Analyze how the Service is used so we can improve it
- Detect, prevent, and respond to fraud, abuse, security incidents, and unlawful activity
- Comply with legal obligations
We will not sell your personal information or your customers' personal information to third parties.
3. Marketing Communications
From time to time we may send you product announcements, tips, and promotional emails. You can opt out at any time using the unsubscribe link in any marketing email or by emailing hello@squadreviews.com. We will continue to send transactional emails (billing receipts, security alerts, customer support responses) regardless of marketing preferences.

We use cookies and similar technologies to keep you logged in, remember your preferences, measure site performance, and understand how visitors use our site. You can control cookies through your browser settings. Disabling cookies may limit some features of the Service.

We share information only as described below.
With service providers
We use third-party providers to deliver the Service, including:
- Climbo — the underlying reputation management platform that powers Squad Reviews. Customer and account data is processed by Climbo to deliver core features.
- Stripe — payment processing
- SMS, email, and messaging providers — used to deliver review requests, reminders, and notifications via the channels you choose
- Hosting, analytics, and infrastructure providers — to operate, monitor, and secure the Service
These providers may access your information only to perform their functions on our behalf, and are contractually required to protect it.
With third-party platforms you connect
When you connect Squad Reviews to platforms such as Google Business Profile, Facebook, TripAdvisor, Yelp, Booking.com, etc., information flows between Squad Reviews and those platforms as needed for the integration. Your use of those platforms is governed by their own privacy policies.
For legal reasons
We may disclose information if required to comply with applicable law, regulation, legal process, or governmental request; to enforce our Terms of Service; to protect the rights, property, or safety of Squad Reviews, our users, or others; or in connection with a merger, acquisition, or sale of business assets.
6. Data Retention
We retain personal information for as long as your account is active and as needed to provide the Service. After account closure, we typically retain account data for up to 30 days to allow recovery, then delete or anonymize it — except where longer retention is required by law (for example, billing records and tax documentation).
7. Data Security
We use industry-standard technical and organizational measures to protect your information, including encryption in transit, access controls, and regular security reviews. No method of internet transmission or electronic storage is 100% secure, however, and we cannot guarantee absolute security.
8. Your Rights and Choices
Depending on where you live, you may have the following rights regarding your personal information:
- Access — request a copy of the personal information we hold about you
- Correction — ask us to fix inaccurate or incomplete information
- Deletion — request deletion of your personal information
- Portability — receive your data in a structured, machine-readable format
- Objection / restriction — object to certain processing or ask us to restrict it
- Withdraw consent — for any processing based on your consent

California residents (CCPA/CPRA)
California residents have additional rights, including the right to know what categories of personal information we collect and disclose, the right to request deletion, the right to opt out of the sale or sharing of personal information (we do not sell personal information), and the right not to be discriminated against for exercising these rights.
European users (GDPR)
If you are in the European Economic Area, UK, or Switzerland, you have additional rights under GDPR, including the right to lodge a complaint with a supervisory authority. The legal bases on which we process your personal information are: (i) contract performance, (ii) legitimate interests (improving and securing the Service), (iii) compliance with legal obligations, and (iv) your consent where required.

Squad Reviews is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
10. International Data Transfers
Squad Reviews is operated from the United States. If you access the Service from outside the U.S., your information may be transferred to, stored, and processed in the U.S. and other countries. Where required, we use appropriate safeguards (such as Standard Contractual Clauses) for international transfers.
11. Third-Party Links
Our website and dashboard may contain links to third-party websites and services. This Privacy Policy does not apply to those third parties; please review their privacy policies separately.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we'll update the "Last updated" date at the top and, where appropriate, notify you by email or in the dashboard. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
